Job Summary:
The Admin Officer will be responsible for providing comprehensive administrative support to ensure efficient operation of the office. The successful candidate will assist in various office tasks and administrative processes, including managing communications, organizing office procedures, and supporting the team in various functions. This role requires excellent organizational skills, attention to detail, and the ability to work independently and as part of a team.
Key Responsibilities:
- Manage daily office operations, including correspondence, filing, and organizing documents.
- Handle incoming and outgoing communication, including emails, phone calls, and physical mail.
- Maintain office supplies inventory by checking stock levels and ordering supplies when needed.
- Assist in the preparation of reports, presentations, and correspondence for management.
- Coordinate and schedule meetings, appointments, and travel arrangements for staff members.
- Process and handle invoices, expenses, and other financial records as required.
- Ensure that office equipment and facilities are well-maintained and operational.
- Provide administrative support to other departments as needed, including organizing team events, meetings, and workshops.
- Maintain confidentiality and security of sensitive company information.
- Support human resource functions such as employee onboarding and records maintenance.
- Implement and maintain office policies, procedures, and protocols to improve efficiency.
Qualifications:
- Bachelor’s degree in Business Administration, Management, or related field (preferred but not required).
- Proven experience as an Administrative Officer, Office Manager, or in a similar role.
- Excellent organizational and multitasking abilities.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
- Ability to work independently with minimal supervision and as part of a team.
- Attention to detail and problem-solving skills.
- Strong interpersonal skills and a customer-service mindset.
Desirable Skills:
- Familiarity with office management software (e.g., MS SharePoint, G Suite, or other project management tools).
- Experience in budget management and financial record-keeping.
- Knowledge of HR processes and practices.
