We now have a fantastic opportunity for an Executive Assistant to work directly for our Managing Director, on a full-time basis. 

Whilst you will be based in the Employment Office office in Milton, Brisbane (what a mouthful!), this is an extremely busy and varied role that will see you providing executive-level support for activities across 5 different businesses (and 5 different Boards). Yep, you read that right - five!

What does that look like on a daily basis? Well, apart from all the usual things you would expect from an EA role (booking meetings, taking minutes etc) - you will be doing loads of exciting and varied project work with no two days the same. To give you an idea, this will include anything from coordinating a new office fit-out for one of our sites, to organising the activities and travel requirements for our annual Global Gathering (this year it was in NZ, last year - Canada!).

Let's talk about you.

Realistically, you are going to need to have proven experience in a similar role providing support at an executive level, to thrive successfully in this role. 

You will need to be a steel trap when it comes to diary management, time management and project management - ensuring things get done on budget and within set timeframes. This doesn't necessarily mean you know how to use MS Project (although if you do - great!), but you will ensure nothing falls through the cracks ie meetings aren't double booked, and you can coordinate activities to ensure that our Managing Director is operating as effectively and efficiently as possible each day.

Other key things that we will be looking for include:

  • The ability to remain focused with lots of distraction (it's a busy, thriving office what can we say?!);
  • The ability to problem-solve, think on your feet and work flexibly in an ever-changing environment;
  • Someone who is task-driven and gets their kicks from ticking things off the to-do-list; and
  • The ability to develop and implement process improvements to increase efficiency (we are giving you HEAPS of autonomy in this role to make it your own. Awesome right?)

It's important to note that while you will be surrounded by a group of friendly people who will welcome you with open arms - you do need to operate a little bit separately from the rest of the business in this role. A lot of the work you do is confidential and requires a certain amount of professional distance. The upside of this is that you will have HEAPS of autonomy to make this role your own, but if you prefer working as part of a team environment, then this probably isn't the role for you.
